Scope of Position:

Oversee & Coordinate ANZPI Directors, (Corporate Affairs, Sales Director & Marketing Director). Work closely with ANZPI Director's and ensure meetings are properly noted and that background information is provided. Closely monitor and ensure travel schedules are current and that logistics and locations are communicated accurately. Secure advance agendas for outside meetings, place agenda items on e-calendar for ease of use around managing time and expectations. Update on a regular basis and provide time buffer where needed for travel or other meetings running over.

Please note - This role will be hired initially as a 12 month fixed term contract


- Manage Directors schedule and travel itinerary

- Provide confidential administration support and ensure Directors are aware of any issues

- Screen telephone calls and provide appropriate responses as necessary

- Reconcile expenses via accounting system for Directors

- Prepare and monitor any personal expenses requiring reimbursement

- Setup and maintain accurate filing systems for Corporate Affairs Director

- Assist with the design, planning, and management of the bi-annual Marketing Conference

- Assist with any promotional activities when required

- Key Contact for External Associations, managing any function request bookings, gathering and advising guest lists etc

- Assist Sales Director and other sales leaders with confidential administration including the Quarterly Incentive

- Assist with the design, planning, and management of the quarterly Sales Conference (2 physical, 2 by phone)

- Coordinate regular Sales Leadership Team meetings including monthly leadership meeting and sales connect call

- Provide general support and guidance in other administration areas as needed

- Assist Senior EA to oversee/monitor general office condition/appearance and ensure compliance around keeping overall space organized and tidy.

- Assist Senior EA in the design, planning, and management of B-F office events and National Conference

- In conjunction with Senior EA, liaise with brand teams where necessary regarding special events and visits from senior B-F personnel from the US and elsewhere

- Provide secondary back-up to B-F switchboard and reception resources

Qualifications & Requirements

- Min 3 year experience in similar role

- Advanced Microsoft Office skills

- 5-10 years in Support/Administration
